How to copy Employee ACA data from one tax year to the next tax year

The attached VI import and export jobs were created in Sage 100 version 2016 PU2.

Currently there is not a utility from within Sage 100 to copy ACA data from one tax year to the next tax year.

Note: The steps below require you to own the Visual Integrator module and running either Sage 100 2015.4, Sage 100 2016.1 or Sage 100 2017.

Steps below are to export and import ACA Employee data:

  1. Open Visual Integrator, Main, Export Job Maintenance
  2. Create an export job for each of the following tables, using .csv file format (TIP: On the Select tab, select to only include the year you want exported, i.e. 2015)
    • PR_ACAEmployee
    • PR_ACAEmployeeCoveredInd
    • PR_ACAEmployeeMonthlyDtl
  3. If an employee enrolled in your employer sponsored healthcare plan (TIP: column 4 would be "Y"), you must provide the Plan Start Month (new requirement for 2016 tax filings), open the PR_ACAEmployee .csv file that was exported
  4. In the Plan Start Month column, you must include a 2-digit plan start month. If they did not enroll in plan, enter 00
  5. Save the file as a .csv file format
  6. IMPORTANT REMINDER: If you need to make any changes to any employee's ACA data for the new tax year, open the applicable file and make the necessary changes BEFORE importing back into Sage 100.
  7. After making changes, you will now create 3 new Import jobs, using the same tables noted in step #2 above, open Visual Integrator, Main, Import Job Maintenance
  8. We recommend importing into a copy company to ensure the results are what you are expecting to see.

 

 

Attached below are sample import and export jobs that you may use at your discretion. Sage is not responsible for any errors encountered or for updating these VI jobs.

NOTE: The attached export jobs are restricting to only export 2015 tax year records, if you want to change or remove that criteria, click on the "Select" tab to make change.  Because of this export restriction you will need to open up each .csv file and change the tax year to be the applicable year you are going to be importing -OR- you can file assign the tax year in each import job to assign the appropriate tax year to assign each record you are importing, i.e. 2016.

If you are importing covered individuals that use a date of birth instead of their SS#, make sure to run a test on the VI import job before importing records, to verify the date of birth will be imported in the correct format.
