What files should I backup for my year-end processes?

It is always recommended that you make regular full backups of your data.  This is the best method to insure you have the information you need if a data restore has to be done.

However, there are times when it is appropriate to make a partial, temporary backup for the purpose of performing certain processes.  Here are the recommended files for particular year end procedures.

Sage 100 recommends making a copy of the company data files as a interim backup.  All  modules should be copied.  There is no backup utility within the product.  The entire MAS_XXX (XXX=company code) folder contains the data that will be copied to the new company code.

When should I make the back ups of my data?

Backups can be made at any time, and if you are making a temporary backup, you can make that backup just prior to performing the particular task.  You will want to coordinate this with other users, because everyone will need to be out of the application at the time of making the copy.

If you are making a full backup so that you can install the year-end update, it is usually best to perform that after hours, because all users will need to be completely out of the software. 

It is recommended to make a copy of the company code prior to closing a period/year to retain current year detail data.
