First you need to set up Job Cost Interface in Sage SQL Estimating. See article 75352, DocLink: How do I setup a Sage Estimating standard database to interface with Job Cost? (SQL) (Supplemental Video)
There are two options to update Job Cost numbers in Sage SQL Estimating.
Option A: From an estimate, update the items in that specific estimate
- Open an estimate and find out which items need to be updated with the correct JC Cost Code.
- Select or create a spreadsheet layout that has the Job Cost Phase code column visible See Artilce 26044 DocLink: How do I set up a spreadsheet sequence to view Job Cost information in Estimating? (SQL) (Supplemental Video)
- You will see a cost code for each category but only the categories going over to Job Cost need to be updated.
- Right click on the number at the beginning of the row with an item that needs to be updated and click on Edit database.
- Click on the Job Cost Tab and you will see the Job Cost Phase column. Use the drop-down list of standard Job Cost Codes or type it in manually. Click OK to update the database and get back to the estimate.
- Right click on the number at the beginning of the row with an item that needs to be updated and click on Substitute Item.
- Your item should be highlighted on the list. Double click on the item highlighted and replaced with the newly updated Database Item.
Option B: Update all items in the database using Database Editor
- Open the database editor and Open your estimating database.
- In the ribbon bar click on Phases.
- Edit the JC Phase using the drop-down list of standard Job Cost Codes or type it in manually. You may be prompted with a Sage Accounting login. Once the number has been updated it will be highlighted green showing the change.
- In the ribbon bar click on Items.
- Right click on the gray button at the beginning of the line and select Inherit JC Phase. This will pull the JC cost code that you updated in JC Phase and add them to the appropriate categories.
- In the ribbon bar, click Check in. Once you check in your database, it will be available for new estimate.
Option C: From an estimate, update the items in the totals page for that specific estimate
- From the Home Tab click totals
- Right click on the gray box in front of an item and select edit Addon.
- On the right had side there may be a Job Cost button. Edit cost code listed if there is one. Click OK twice.
- While still in the edit addon window, Select the radio button for Database and repeat Step 3. Click OK twice and close.
