1. Open the Record Go to the record where you want to add a custom field. 2. Access Custom Fields - Click Edit, Custom Fields
OR - Click the Enter custom fields button on the toolbar
3. Custom Field Window Behavior - If no custom fields exist, the Custom Field Properties window opens immediately
- If custom fields already exist, the Custom Fields entry window appears. Click Add to create a new field
4. Fill Out the Custom Field Properties Field Name - Enter a unique six-character name
- You can't duplicate existing field names
- You can't change the field name after saving
Description - Enter a brief description (max 30 characters)
Field Type - Choose the data type:
- Character
- Number
- Date
- Checkbox
- You can't change the field type after saving
5. Configure Field Attributes (Based on Field Type) Character Fields - Set Length (up to 255 characters)
Number Fields - Set Decimal Places (0, 2, 4, or 6)
- Set Minimum Value (≥ -99,999,999)
- Set Maximum Value (≤ 999,999,999 and > 0)
- Min and Max values must be different
All Field Types - Prompt: Add a short description to guide users
- Default Entry: Enter or select a default value
- Date Fields: The format is MM/DD/YYYY (U.S.) or DD/MM/YYYY (Canada)
- Checkbox Fields: You can select these by default
6. Optional Field Settings | Option | Description | | Require Entry | Complete the field to save the record. | | Use Quick List | This enables a drop-down list of values. | | Require List Match | The entry must match an item on the Quick List. | | Lock Quick List | Only admins can edit the list. | | Lock After Save | The field becomes read only after saving. | | Require Unique | Prevents duplicate entries (for indexed text fields). | | Check Spelling | Enables spell check on text entry. | | Mixed Case/Upper Case/Lower Case | Controls text casing. | 7. Set Access Permissions - In the Permit Access to section, select user groups that can access the field
- If you don't select any group, all groups will have access
8. Save the Field Click Save to finalize the custom field.
NOTE: Go to Edit, Custom Fields to view the new custom field you've added. This field won't appear on the record itself. |
