| Using Outlook for emailing in Sage 100 Contractor version 26.1 and later |
Description | The recent changes to Outlook have caused some users to experience issues when attempting to email reports and files from Sage 100 Contractor using their installed version of Microsoft Outlook. Starting with version 26.1, improvements have been implemented to address this problem. However, it's important to note that these enhancements may not completely resolve email-related issues for all users, as the outcome depends on individual Outlook installations, system environments, and other factors. |
Cause | You would like to use Outlook to email reports, direct deposit paystubs, ACH/EFT payment receipts, dispatch board technician emails, mobile time invitations, scheduled reports, and scheduled alerts from within Sage 100 Contractor. |
Resolution | In Sage 100 Contractor version 26.1, some changes have been made to improve the integration with Microsoft Outlook to allow email from within the program. There are several ways that Outlook can be used for emailing in Sage 100 Contractor: - Clicking the yellow Outlook icon in reports
- Clicking the Outlook icon with the email address fields of job, vendor, and client contacts
- Clicking the Outlook icon and within the 7-4 Contact Manager
- Selecting Outlook as the email method when clicking the white email icon in reports
- Selecting Outlook as the email method when setting up direct deposit email, ACH/EFT payment receipt emails, dispatch board technician emails, and Simple Time mobile invitation and rejected time emails
- Selecting Outlook as the email method for scheduled reports and scheduled alert emails
In versions of Sage 100 Contractor before 26.1, using Outlook as the email method would often result in the following error message: In version 26.1 and later, you will no longer encounter this error. However, the proper functioning of the email integration is contingent upon meeting the following conditions: - Outlook must be running when emailing within Sage 100 Contractor. If Outlook is closed, you will receive an error stating that Outlook must be opened.
- Sage 100 Contractor and Outlook must be running at the same User Account Control (UAC) level. For instance, if Sage 100 Contractor was opened using 'Run As Administrator' but Outlook was not, you will receive an error message prompting you to open both Outlook and Sage 100 Contractor normally.
- You must have a supported version of Outlook installed and configured with your email account. Refer to System Requirements for Sage 100 Contractor version 26.1
- Email integration will not work with “New Outlook”, which was introduced as a free alternative to Windows Mail in December 2023. It is a cloud-based email application that does not integrate with installed applications like Sage 100 Contractor.
Important notes for using Outlook for Scheduled Reports and Alert emails: - When creating the scheduled report or alert, do not check the option “Run the task with elevated privileges” in the Scheduled Task Settings. This will cause the scheduled report or alert email to fail.
- If you have chosen Outlook as the email method for scheduled reports and alert emails, Outlook must be open at the scheduled time by the user whose Windows login credentials were used when the report or alert task was created.
- When setting up the report or alert to run on your machine, always choose the option "Run the task only when I'm logged in (does not require your Windows password)" in the Scheduled Task Settings dialog box. Additionally, ensure that Outlook is running on your machine at the scheduled time for the report or alert to run.
