Why the reports don’t match
The A/R Aged Invoice Report and A/R Trial Balance use different date fields. This difference causes the totals to vary.
- The A/R Aged Invoice Report uses either Invoice Date or Due Date, based on setup.
- The report also applies a Future Transactions setting.
- The A/R Trial Balance Report uses Transaction/Posting Date only.
- The Transaction/Posting Date controls posting to the General Ledger.
These reports will ONLY match if the Transaction/Posting Date is the same as the Invoice Date on every transaction.
Future Transactions settings explained
The Aged Invoice Report includes options that affect which invoices appear.
- Exclude by Invoice Date removes invoices dated after the report date.
- Exclude by Transaction Date removes invoices posted after the report date.
- Include All includes all invoices, regardless of date.
These settings directly impact report totals and visibility.
Example 1: Invoice date with future Transaction posting date.
An invoice has these dates:
- Invoice Date: 09/30/2025
- Transaction/Posting Date: 10/02/2025
Results:
- The invoice appears on the Aged Invoice Report when printed as of 09/30/2025.
- The invoice doesn’t appear on the Trial Balance for 09/30/2025.
This difference occurs because the Trial Balance uses Transaction/Posting Date.
Example 2: Invoice Date with future Transaction Posting Date, then Adjustments to correct Transaction Dates.
An invoice has incorrect future posting activity.
- The Original Invoice Date 09/30/2025 and Transaction Date 09/30/2035.
- A negative adjustment updates with Transaction Date 09/30/2035.
- A correcting positive adjustment updates with Transaction Date 09/30/2025.
Results depend on report settings:
- The Aged Invoice Report display depends on the Original Invoice Date and Options selected for Future Transactions option.
- The Trial Balance reflects only Transaction Date activity.
Note: Incorrect future transaction dates create confusing report results. Always review posting dates carefully.
Key takeaway
These reports serve different purposes:
- The Aged Invoice Report tracks customer balances by invoice or due date.
- The Trial Balance reflects posted accounting activity based on the Transaction Date.
Because of this design, differences between the reports can happen.
