Summary
How to correct or adjust Payroll Year to Date Vacation and Sick Time in Sage 50 Accounting through Payroll Entry or the Beginning Balances screen.
Resolution
Adjust Year to Date totals through the Payroll Entry screen (recommended option)
- Select Tasks, and then select Payroll Entry.
- Select Employee ID that needs to have the hours adjusted.
- Enter a Date that is between the last paycheck and the next paycheck. The date must be in the current payroll year.
- Enter a Check Number that is a reference for this adjustment (for example, ADJ101).
- Zero out all salary and/or hourly wages in the Salary Amounts section. Makes sure the Gross Pay is $0.00.
- Zero out all deductions and benefits in the Taxes – Benefits – Liabilities section.
- Select the down-arrow to the right of the Print icon and click Print Preview. Then click the Print Preview button to display the report.
- Click Zoom In, if needed.
- Make sure This Check column is blank and there are only amounts in the Year to Date column.
- Note the name of the deduction and the total that you're correcting.
- Determine the positive or negative amount that you need to enter to correct this number.
- Close Print Preview screen.
- Make the correcting entry for that deduction (Vacation and/or Sick time) on the Payroll Entry screen.
- Example: if the VAC_Remain Year to Date total is 42.00 instead of 40.00, enter -2.00 in the VAC_Remain field
- Click Yes on the $0 check warning message.
- Preview the check again for accuracy and then close the Print Preview screen.
- Click Save.
- Repeat the above steps for each employee that requires an adjustment.
NOTE: Vacation and Sick totals don’t appear on the entry screen. Print preview or print the check to see the year to date totals.
Adjust Year to Date totals through Employees Beginning Balances screen
NOTE: Adjustments to beginning balances will impact the specific field used. Entries to Vac_Rem won’t adjust values to Vac_Accrue for example. If you intend to edit values for both fields, adjust them separately.
- Select Maintain, and then select Employees/Sales Reps.
- Select the appropriate Employee ID.
- Click Employee Beginning Balances button, and then enter a date in the current year in the Dates field.
- Enter the appropriate adjustments to Vacation.
- Click Save to close the Employee Beginning Balances screen.
- Click Save to save Employee Record.
- Verify Vacation Year to Date balances are correct.
