How to customize General Information fields

Description

Note: You can’t customize some fields by design. These fields are Custom Date 1, Custom Date 2, Quantity, Override RV, and Replacement value.

Resolution

In Sage Fixed Assets, with the company open:

  1. Go to Customize, Customize Fields to open the Customize Fields dialog.
  2. The Asset Fields lists all the available General Information fields. Select the Asset Field that you want to change. The following options will be available on the right of the Customize Fields dialog.
    1. View: In the dropdown box, select of how the field will appear in the asset details and list view.
      • Allow Entry - (default) The selected field is available for input of some value
      • Require Entry - You must populate the selected field with a value before you can save a new asset
      • View Only - The selected field will only display existing values
      • Hide - The selected field won’t appear
    2. Title: You can change it so the field appears within the Sage Fixed Assets program under the changed title.
      Note: When editing the Title field, there are no checks on current field titles. It's possible to have a title duplicated. It can cause issues in the Group Manager and in other areas on the program
    3. Entry Mask: Width is x of x characters. The system uses this to change the selected field's length or the format the data.
      Note: Each field has a max limit to the number of characters allowed denoted by the Width values. You can't change them.
      Available types are:
      • X - Any ASCII character
      • 9 - Any number 0-9
      • N - Any alphanumeric character

        Note: You can use Special characters when creating an entry mask to format the text in the field. The database doesn't save the special characters. You can use all non-alphanumeric characters except an exclamation point (!), an apostrophe ('), or a pound sign (#).
        Note: Once you edit an Entry mask, on clicking OK, the system prompts you with a message. Modification of the entry mask could cause permanent loss of data. Do you wish to continue? The program won’t actually truncate any of the data in the General Information fields. If the value in the field is longer than the entry mask, the value shows with a red X proceeding it. Click Yes to continue.
    4. Default: For the selected field, you can set a default value by entering it here. It will appear on the Add an Asset dialog when keying in new assets.
    5. Message: Use this field to enter a brief message to appear in the status bar when entering a field.
    6. Order Entry: Use this field to specify the order in which you want the fields to appear in Asset Detail. When changing the entry order of a field, the old and new fields swap places.
    7. Activate SmartList? Select this checkbox to enable the SmartList Manager button.
    8. SmartList Manager: Allows you set values to enter in the field on the Add an Asset dialog. See How to add, edit, or remove entries on a SmartList for more details.
