Error: "[First/Last] Name is formatted incorrectly" or "[Full/Company] name must only contain legal alphanumeric characters" (in Aatrix W2/1099 Preparer window)

Summary

One or more of the following red error messages appears in the Aatrix W-2/1099 Preparer window when generating 1099s for Accounts Payable or Property Management: "First Name is formatted incorrectly." "Last Name is formatted incorrectly." "Full name must only contain legal alphanumeric characters." "Company name must only contain legal alphanumeric characters."

Cause

A 1099 Recipient name contains special characters that are not allowed.

FIELDCHARACTERS ALLOWED
First Name

The only special characters allowed are a space and a dash (-), the IRS will reject all other characters.
Must start with an alphabetic character and must be more than 1 character.

Last Name

The only special characters allowed are a space and a dash (-), the IRS will reject all other characters.
Must start with an alphabetic character and must be more than 1 character.

Company Name

The only special characters allowed are space, ampersand (&), and dash (-), the IRS will reject all other characters.

Full Name

The only special characters allowed are space, ampersand (&), and dash (-), the IRS will reject all other characters.

The 1099 Recipient name comes from one of the following:

  • AP 1099s
    • AP, Setup, Vendors
      • Name field
      • Recipient's Tax Name field on the 1099 Settings tab
  • PM 1099s
    • PM, Setup, Tenants, General tab, Controls subtab
      • Tax Name field

Resolution

This issue is resolved in Sage 300 Construction and Real Estate version 22.2 Update 1. With this update, the special characters that are not allowed are automatically removed when the data is passed to the Aatrix interface so that the errors will not occur.

For versions 22.2 (no update) and earlier, you will need to manually remove the characters that are not allowed from the name fields that are flagged red in the W-2/1099 Preparer window.
