How to import changes to existing assets

Summary

Steps to update information in the General Information section of the asset detail in bulk.

Resolution

Note: A custom import can only change General Information (such as general ledger accounts, location, and custom) fields. You cannot change Book Information (Property Type, Acquisition Value, Depreciation Method, Estimated Life, etc.) with an import.

In Sage Fixed Assets - Depreciation:

  1. Go to File, Company Utilities, Custom Import.
  2. Welcome - Click Next.
  3. Select File - Click Browse, locate file, click Open, click Next.
  4. Select Company - Select the Database and Company, click Next.
  5. Import Type - Choose Update Asset, click Next.
  6. Field Map - Choose Create New Field Map, click Next.
  7. Select Fields - Map the spreadsheet columns to the desired program fields. Once all fields are mapped, click Next.
    • Columns - Indicate the spreadsheet column to map
    • Available Fields - Select the Sage Fixed Assets field to map (i.e., Import) to
    • Click >> with the desired field and column highlighted
      • The Field Mapping window will contain the spreadsheet columns (ex. [A]) and the related (ex. 'System Number')
      • Map all desired fields
    • Begin import at row - indicates what row in the spreadsheet asset data starts on
    • Optional - Save Map for future use
  8. Import summary - Click Validate to check for invalid data.
    • If there are any invalid records, click View Report to help determine problems
    • If there are no invalid records found, click Finish to import changes
