If your contract totals are incorrect in Job Cost, follow the steps below to troubleshoot and resolve.
Common causes:
- There are unposted entries in Job Cost
- There are unapproved contract items
- There are approved contract items without amounts
- There are two or more contracts linked to the same job
- The job is not linked, or the wrong job is linked, to the contract item
- A posting error occurred and totals did not update or transactions are missing
Additional causes for this issue:
- A user turned on Audit Setup Activity and changed a total
- Changes made to approved Project Management change order without first changing status and selecting Save

- Post entries in Job Cost:
- Go to Job Cost, Tasks, Post Entries.
- Click Start.
- Review the posting journal for any rejections.
- Verify the master totals match the current file transactions in Job Cost:
- Go to Job Cost, Reports, Entries, Entries by Job.
- Select the current file.
- Range on the job.
- Add conditions for each transaction type to get totals for that specific transaction type:
- Click on conditions and delete all existing conditions.
- Add conditions for Transaction Types desired. Examples for different transaction types (each one a separate report run):
- To see original schedule of value/contract/price amounts, add a condition of "Transaction type EQ Schedule of Value"
- To see approved change orders, add a condition of “Transaction type EQ Apprvd schdl val chng”
- Compare to master totals found under Setup, Jobs, Contract Totals for that transaction type.
- Original Contract = Scheduled of Value
- Approved Changes = Aprvd Schdl Val chng
- Revised Contract = the sum of original and approved changes
- Contact support if you find duplicate or missing schedule of value transactions in the Job Cost transaction file.
- If the transactions are correct and the job totals are wrong, use Audit setup activity to correct the job totals.
- If job is set to Use Contracts, verify Contracts:
- Confirm Create Entries to Job Cost is turned on in Contracts:
- Go to Contracts, File, Company Settings, CN Settings.
- Go to Post & Interface Settings.
- Confirm that you checked both boxes for Job Cost (Activate interface and Create entries). If the box is not checked, contact Sage for help getting any Contract Values to Job Cost.
- Click OK twice to close settings.
- Verify amounts and approve contract items:
- Go to Contracts, File, Open Contract.
- Confirm the items have the appropriate contract amounts on the Contract tab.
- Select the contract and verify that each contract item status is Approved.
- Verify which contracts are linked to the job:
- Go to Contracts, Reports, Lists, Contract / Job Link.
- Click Conditions and add a condition for Job, Operator Equal to and enter your Job number in the Value field.
- Click Print Preview and verify that all contract items are linked to the correct job.

- If there are duplicate entries posted from Job Central or Contracts:
- Unapprove the contract items in Contracts. See How do I unapprove a contract item that has no change orders, billings, or payments / cash receipts?
- Approve the contract items without sending entries to Job Cost:
- Have all other users exit the software or refrain from any posting during the following steps.
- Go to Contracts, File, Company Settings, CN Settings.
- Click Post and Interface Settings.
WARNING: Use extreme caution when changing anything on the Post and Interface Settings. If you follow the steps outlined in this article, remember to reselect the Create Entries check box. - Clear the Create Entries checkbox.
- Click OK twice.
- Approve the contract items.
- Go to Contracts, File, Company Settings, CN Settings.
- Click Post and Interface Settings.
- Mark the Create Entries checkbox.
- Click OK twice.
- Users can resume normal processing.
