How to globally change general fields

Summary

How to change the entry in a field in bulk by using Replace, modifying a Smartlist entry, or a custom import for existing assets.

Resolution

Option 1:

From the Asset List view:

  1. Select the All Complete Assets group or the group you need to change.
  2. Go to: Edit, Select All. This will select all assets within this group.
  3. Go to: Edit, Replace.
  4. In Look In: Select the field.
  5. In Look For: Enter the value to replace.
    Optional:
    • Check the box for: All values in field to change all the asset in the selected group
    • Check the box for: Blank values in field to change only assets with no values in the selected field
  6. In Replace With: type the information to use to replace the old data.
    • Optional: Check the box for: Blank all values in field: to clear all data in the Look In: field matching assets found in the Look For: selection
  7. Click Replace or Replace All to make change.

Option 2:

  1. Click Customize, Customize Fields.
  2. Left Click the field you want to change.
  3. Click SmartList Manager.
  4. Highlight the entry to change.
  5. Type the new Name and Description.
  6. Click Replace.
  7. Choose Globally Replace the Original Entry.
  8. Click OK.
  9. Click Close.
  10. Click OK.

Option 3:

  • Perform an Update Import through the Custom Import function. See How to import changes to existing assets for details
    Note: A custom import can only change general asset information. Book Information such as Property Type, Acquisition Value, Depreciation Method, Estimated Life cannot change using an import.
