| How to copy Sage 100 data to a different installation |
Description | This article is intended for trusted third parties (such as a Certified Public Accountant, Sage Business Partner, etc.) who need access to a client's Sage 100 data.
|
Cause | Sage 100 2018 and higher has advanced in its protection of sensitive data to comply with ongoing government and industry requirements. |
Resolution | [BCB:1:Backup warning:ECB] - Use a secure remote access technology (such as VPN, RDP, remote connection, screen share, etc.) to allow a trusted third party to access a client’s Sage 100 system and perform their needed tasks.
NOTE: If any work performed by the trusted third party needs to remain and reside on the client's system, this is the only recommended solution. - If none of the work performed by the trusted third party needs to “go back” to the client's system, then an alternate method can be performed where a copy of the client's MAS90 directory (and all contents) is securely sent to the trusted third party and loaded on a secured system that has an installation of Sage 100 2018 or higher. That trusted third party can then replace their own Sage 100 2018 (or higher) installation's MAS90 folder (rename it first) with a copy of the client's MAS90 directory.
-
To allow company data to be copied between multiple installations they must contain the same PII Encryption Key. Perform the following steps in both installations before copying company data folder(s) -
Log into Sage with Administrator account to open Administrative Tools -
Select Personal Identifiable Information -
Enter new Encryption Key (Enter a new encryption key. The key must contain at least 16 characters and no more than 32 characters) NOTE: It is recommended to type in Notepad first, then copy/paste. The same encryption key will be used for both installations. -
Exit Administrative Tools -
Repeat Steps a-d for second installation -
Copy MAS_xxx (xxx=company) company data from one installation MAS90 folder to another NOTE: -
- The third party's installation of Sage 100 must be of the same version and update, or higher. If higher, be prepared to run a data conversion.
- If this needs to be done for multiple clients, using virtual machines (VMs) may be helpful, as each virtual machine would handle a separate client's data.
- The client may want to (before having the copy of MAS90 made to send to the trusted third party) create a unique Sage 100 Logon (with proper Role assignments) for the trusted third party to access necessary tasks, reports, data, etc.
