The Cash Management Move Entries process allows you to move transactions. This keeps your historical transactions separate from your current transactions. It also decreases the size of your data files and speeds processing time. This process moves reconciled transactions. It moves related entries as well, such as: - Cash detail
- Deposit items
- Deposit item detail
- Withdrawal detail
- Batch
- Transaction attachment records
Entries can only move from Register to History, or History to History. You can’t move entries from History back to Register. Printing a report or viewing an inquiry in an archive folder usually requires other application files. The files required depend on which reports and inquiries you want to generate. - Considerations before you move entries are as follows:
- Only reconciled transactions will move.
- You can’t move transactions back to the register file after you move them to a history file.
- You can’t unreconcile or edit a transaction after you move it to a history file.
- You can’t void a check after you move it to a history file.
- Move entries from register to history as follows:
- Back up your data files.
- Go to Cash Management, Tools, Move Entries, Register To History.
- If a history file doesn’t exist, click OK to create.
- Enter or select a date in the Ending statement date box.
- A beginning statement date is optional. If you don’t enter a date, Sage moves all reconciled transactions with a statement date before the ending date.
- Optional: Use Conditions or Ranges to apply extra selection criteria.
- Click Start to move transactions.
- Review the Move Entries report to verify the transactions moved successfully.
- Compact the CM Register transaction file with File Doctor.
- Move entries from history to history as follows: (optional)
When you move transactions from History to History, they’re no longer used in Check/Deposit Verification. They aren't available for reporting through normal means. - Back up your data files.
- Go to Cash Management Tools, Move Entries, History To History.
- Select a destination file.
- Named files (File, Company Settings, File Locations, Ask Name marked on CM Transaction): If you use named files, you can name this file and save it in the current data folder. If you don’t use named files, save the new history file in a separate data folder. You can have only one History.cmt file in a particular folder.
- After you select the destination file and folder, click Open.
- If a history file doesn’t exist, click Yes to create.
- Enter or select a date in the Ending statement date box.
- A beginning statement date is optional. If you don’t enter a date, Sage moves all reconciled transactions with a statement date before the ending date.
- Optional: Use Conditions or Ranges to apply extra selection criteria.
- Click Start to move transactions.
