How to process pre-notes for Payroll Direct Deposit

Resolution

 If you are manually sending ACH files for processing direct deposit, do the following to complete the processing of your employee direct deposit pre-notes:

  1. Open Payroll, Setup, Payroll Options.
  2. Click Direct Deposit tab.
  3. Select the Require Direct Deposit checkbox.
  4. Open Payroll, Main, Employee Maintenance. Select employee.
  5. Select Direct Deposit checkbox.
  6. Click Direct Deposit button, and enter the employee's direct deposit information
  7. Open Payroll, Direct Deposit, Pre-Note Selection Register.
  8. In the Pre-Notes To Be Sent On field, enter the date,
  9. Click Print, and Update the Pre-Note Selection Register.
    • Notice in the Employee Maintenance Direct Deposits window, the Pre-Note Sent field is set to Yes.
  10. The next time the Direct Deposit Interface File is generated, the Pre-Notes will be included in the ACH file to be sent to the bank for approval. Note: it can be generated without payroll entries.
  11. Once the Pre-Note approval has been received from the bank, Expand Payroll, Direct Deposit, Pre-Note Approval Register.
  12. In the Pre-Notes Sent As Of field, enter the date as of which pre-notes were sent. In the Pre-Note Approval Date field, enter the date as of which pre-notes were approved.
     NOTE: Click Calculate to calculate 10 business days after the date at the Pre-Notes Sent As Of field. If the date entered is not at least 10 business days after the date entered at the Pre-Notes Sent As Of field, a warning message appears. 
  13. Click Print, and update the Pre-Note Approval Register.
    • In the Employee Maintenance Direct Deposits window, notice the Pre-Note Sent field is set to Approved.

 NOTE: Note text hereEmployees will start receiving Direct Deposits 10 business days after the date shown in the Pre Note Approved Date field in Employee Maintenance. 

As of Sage 100 2016 and Sage 100 2015 PU4, Sage 100 Direct Deposit Service is now available as a payroll option.

If you are using Sage 100 Direct Deposit Services, do the following to complete the processing of your employee direct deposit pre-notes:

  1. Complete steps 1-9 above
    • Important note: The pre-notes are not sent until you complete the remaining steps to synchronize data with Sage 100 Direct Deposit Service
  2. Open Payroll, Direct Deposit, Process Direct Deposit
  3. In the Employee Pre-Note and Direct Deposit Transactions window, select all applicable pre-note batches
    • If you also have Direct Deposit Payroll batches to be processed you can select both at the same time as well\
  4. Click Synchronize and then sign in with your Sage account email address. The Synchronizing Direct Deposit Data window displays the status of the synchronization
  5. Wait 5 banking days for the pre-notes to be approved. Then go to Payroll, Direct Deposit, Direct Deposit Processing and click Synchronize button
  6. If you get the prompt, "No batches are selected. Do you want to check for approved pre-notes and fees?', click Yes
  7. Enter your Sage account email and password and click Sign In
     NOTE: 
    • For all employees with an approved pre-note, the Pre-note Sent field in the Employee Maintenance Direct Deposits window will be set to Approved. The accounts are now ready for direct deposit.
    • If a prenote is not approved, verify that the correct account information is entered and resend the pre-notes.
 NOTE: Pre-notes expire after 5 business days. Follow these steps if already expired:
  1. In Payroll, Main, Employee Maintenance, Employee Direct Deposit: change the pre-note sent field to "NO."
  2. In Payroll, Direct Deposit, run the Pre-Note Selection Register and send a new pre-note batch
If the synchronization fails, your direct deposit data is not transmitted. Please contact 866-237-4489 for assistance.
