- Before you move checks to history, verify that the Retain distributions in history check box is selected (File, Company Settings, PR Settings). If you do not select this setting, Burden Detail and Daily Distribution records are also deleted from the original file. This causes the GL Recap report to be out of balance if you select the history file when you print the report.
- When Payroll checks are transferred to history, they can still be used for reporting purposes but you cannot move them back to the current status, they cannot be voided or corrected, and they do not move in Cash Management. The only way to get the checks back to current, is to restore your backup.
To move checks from history to history:
- Use File Tools to back up your Payroll files. Select the link below for details on how to use File Tools to create a backup.
- From the Tools menu, select Move, Checks, History to History.
- If you use named files, select the history file you are moving checks from, then select the history file you are moving checks to. If not using named files, select the destination folder of the history file you want to move checks to. This must be a different folder from your current data folder.
- Click Open. If a History file does not exist in the destination folder, click Yes to create one.
- In the Move Checks - Print Selection window, use [Conditions] to limit which checks move (optional, but recommended). Otherwise, all checks are moved and the file is deleted.
Tip: You may want to move the checks in groups by date to limit the time the task takes. (If you have weekly payroll and move checks for 6 months for 100 employees, there are 2600 transactions to move.)
- Click Conditions.
- In the Field area, select Check Date.
- In the Operator area, select Greater or equal to.
- In the Value area, type a date for the beginning of the date range.
- Click OK and then click Add.
- Verify that the connector is AND.
- In the Field area, select Check Date.
- In the Operator area, select Less or equal to.
- In the Value area, type a date for the end of the date range.
- Click OK twice.
- Click Start to begin moving checks.
- Review the journal to verify the correct checks moved successfully. If the journal contains errors, use File Tools to restore your files from the back up created in step 1. Select the link below for details on how to use File Tools to restore from a backup.
Note: you might want to compact your files after moving checks.
