Note: You cannot move checks from a History file back to a Current file in Payroll. Before you move checks to history, verify that the Retain distributions in history check box is selected (File, Company Settings, PR Settings). If you do not select this setting, Burden Detail and Daily Distribution records are also deleted from the original file. This causes the GL Recap report to be out of balance if you select the history file when you print the report.
- Log in to your Sage 300 CRE file server using a Sage Application Administrator login.
- Use File Tools to back up your Payroll files. Select the link below for details on how to use File Tools to create a backup.
- From thePayroll Tools menu, select Move, Checks, Current to History.
- If you use named files, select the current file you are moving checks from, then select the history file you are moving checks to.
- Add conditions to limit which checks move to history (optional, but recommended). Otherwise, all checks are moved and the file is deleted.
Tip: You may want to move the checks in groups by date to limit the time the task takes. (If you have weekly payroll and move checks for 6 months for 100 employees, 2600 transactions move from current to history.)- Click Conditions.
- In the Field area, select Check Date.
- In the Operator area, select Greater or equal to.
- In the Value area, type a date for the beginning of the date range.
- Click OK and then click Add.
- Verify that the connector is AND.
- In the Field area, select Check Date.
- In the Operator area, select Less or equal to.
- In the Value area, type a date for the end of the date range.
- Click OK twice.
- Click Start.
- Review the journal to verify the correct checks moved. If the journal contains errors, use File Tools to restore your files from the back up created in step 1. Select the link below for details on how to use File Tools to restore from a backup.
