How to correct an AR invoice, adjustment, or void in future year?

This article applies to transactions entered to an accounting date that’s more than one year in the future from the current year. If the invoice date is less than one year in the future and posted in AR, correct the accounting date on a voided invoice in AR.

Complete the full process below to correct the future dated entries.

Confirm unposted transactions' year

 NOTE: All users must exit the Accounts Receivable, Billing, and Service Management applications to prevent posting issues. 

  1. From the Accounts Receivable Inquiry menu, select Entries, Transactions, New file, then Active file.
  2. Select one of the column headers, then select Add column after this column.
  3. From the field list, select Accounting Date and click OK.
  4. Verify that the future year entry is the only visible entry, and note the Accounting Date year.
     NOTE: You post the entries with current year or prior year accounting dates before continuing.  Verify the year-end date in AR. Verify AR is current as it can cause the unposted entries. Close the year in Accounts Receivable to post the entries. 

Change settings and post entries

  1. Have all users exist Billing and Accounts Receivable. Don't create AR Invoices in Service Management until you complete these steps.
  2. From the Common Tasks menu (in Sage Desktop) or the Tools menu (in Accounts Receivable) select Options.
  3. Select the Audit Setup Activity checkbox and click OK.
  4. From the Accounts Receivable File menu, select Company Settings, AR Settings.
  5. Note the current Year End date, then change the year to match the year of the unposted entries.
  6. Click Post and Interface Settings, note each application's Manual or Automatic selections, and uncheck Create Entries for all applications.
  7. Clear the Activate Interface checkbox for General Ledger.
  8. Click OK and OK to close AR Settings.
  9. From the Tasks menu, select Post Entries and click Start. Review the Post Entries journal to confirm the entries posted.

Make correcting entry

Select an option below based on which type of entry you need to correct.

Void if the future-dated entry was an invoice or adjustment

  1. From the Tasks menu, select Adjust Receivables.
  2. Select the applicable customer.
  3. Enter the same accounting date as the original entry in the Accounting Date field.
  4. Select the invoice.
  5. Click Void, Yes, Finish, Start, Yes.
  6. Review the Adjust Receivables journal to confirm the entries posted.
  7. From the Accounts Receivable File menu, select Company Settings, AR Settings.
  8. Enter the original Year End date.
  9. Click Post and Interface settings and select Create Entries and Activate Interface for all applications.
  10. From the Common Tasks menu in Sage Desktop or the Tools menu in AR, select Options.
  11. Clear the Audit Setup Activity checkbox and click OK.

Reverse entry if the future-dated entry was a void

  1. Click Tasks, Enter Invoices, and enter the invoice using the same future date. Post after finishing.
  2. Click File, Company Settings, AR Settings, Post & Interface Settings.
  3. Check Create Entries for applications that AR interfaces with.
  4. Check Active Interface for General Ledger and click OK.
  5. Click Tasks, Adjust Receivables.
  6. Select the customer to whom the invoice is assigned.
  7. Type the correct accounting date in the Accounting Date field.
  8. Select the invoice.
  9. Click Void, Yes, Finish, Start, Yes.
  10. From the Common Tasks menu (in Sage Desktop) or the Tools menu (in Accounts Receivable) select Options.
  11. Clear the Audit Setup Activity checkbox and click OK.
