How are inquiries and custom inquiries stored and updated?

Sage 300 CRE inquiries are defined in *.inq files. Each application that has an inquiry menu has a corresponding [application acronym].inq file. For example, the Accounts Payable inquiry file is named Ap.inq and the Payroll inquiry file is named Pr.inq. If you create custom inquires for an application, that application also has a corresponding [application acronym]user.inq file. For example, if you have custom inquiries for Job Cost, a JCuser.inq file exists.

When the software is installed, *.inq files are stored in the Inquiry folder. For example,

  • for 9.5 and newer versions:
    • 2003, XP: C:\Documents and Settings\All Users\Application Data\Sage\Timberline Office\9.5\Accounting\Inquiry
    • 2008/2001/2012, Win 7/8: C:\ProgramData\Sage\Timberline Office\9.5\Accounting\Inquiry
  • for 9.4 and older versions: C:\Program Files\Timberline Office\Accounting\Inquiry

When an application starts, the program first looks in the Inquiry folder for an [application acronym]user.inq file. If this file is not found, a copy of the [application acronym].inq file is automatically copied and named [application acronym]user.inq. This protects the modified inquiries from being overridden when a new version of the software is installed.

Updating/Adding Inquiries

  • When you add a new inquiry or modify an existing inquiry, the [application acronym]user.inq file is updated and then initialized.
  • When you install a software update, the [application acronym].inq from the install replaces the [application acronym].inq file in the Inquiry folder.
  • New inquiries are automatically added from the [application acronym].inq file to the [application acronym]user.inq file the first time an inquiry file is accessed after the install.
  • To incorporate changes to existing inquiries and views, use the Inquiry Catalog. The Inquiry Catalog transfers inquiry views from the [application acronym].inq file to the [application acronym]user.inq file. If, for example, you want to use a Cash Management view in an Accounts Payable inquiry, you use the Inquiry Catalog to transfer the view.

To use the Inquiry Catalog, complete the following steps:

  1. In Inquiry Designer, from the Tools menu, select Inquiry Catalog.
  2. Select the application whose inquiries need to be updated, and then click [OK].
  3. To update or add only specific views, skip to Step 5.
  4. To update or add all views for an inquiry, complete the following steps:
    1. Select the inquiry to be updated and click Transfer. Views that are new or that have not changed transfer automatically.
    2. For each view of the selected inquiry in the [application acronym].inq file that is different from the view in the [application acronym]user.inq file, a prompt appears to overwrite, skip, or write the view to a new name. Make the appropriate selection.
    3. Click Close.
  5. To update or add only specific views, complete the following:
    1. Select the inquiry to be updated and then select View.
    2. Select options through the inquiry to the specific table view or form view to be updated or added. The options you select vary depending on the inquiry you are transferring.Click Transfer view. Views that are new or that have not changed are transferred automatically. For each view of the selected inquiry in the [application acronym].inq file that is different from the view in the [application acronym]user.inq file, a prompt appears to overwrite, skip, or write the view to a new name. Make the appropriate selection.
    3. Click Close.

Specialty Installs

During installation of the software, you can select which industry specialty reports and inquiries you want to install. The current selections are Contractor, Developer/Property Manager, Electrical, Home Builder, and Property Manager. For construction applications, the [application acronym].inq file on the install contains the Contractor menus. For Property Management, the [application acronym].inq on the install contains the Property Manager menu. Currently, Accounts Payable and Job Cost have different inquiry files that are installed based on this industry specialty selection. Below are the specialty inquiry files that are on the install for each of these applications.

Accounts Payable Specialty
Appm.inq Property Manager

Job Cost Specialty
Jchb.inq Home Builder

Note: Only [application acronym].inq files or [application acronym]user.inq files are recognized as inquiries by the Sage 300 CRE applications. For example, during install, if a specialty is chosen, the specialty inquiry file is renamed. For example, if Home Builder is chosen, a Jchb.inq is installed and renamed Jc.inq.

Project Management Specialty
Pj.inq None
Pjjc.inq None
Pjel.inq
Note: Identical to Pjjc.inq, needed so the electrical specialty install does not install Pj.inq
