How do I delete a terminated lease in Property Management?

Warning: You can use this option if the lease has not been amended. If you delete a lease that has been amended, you may need a file fix to correct it. The exception to this is if you're following How do I remove or delete properties from Property Management? to remove the entire property. Follow the steps below to determine whether a lease has been amended:

  1. In Property Management, from the Tasks menu, select Manage Leases, Change Lease.
  2. In the Lease list, select the appropriate lease ID with the number 0 in parentheses after the lease ID.
  3. Click the Lease History button to view if there have been any lease amendments.

Note: The steps to delete a lease from your database depend on the status of the lease. To determine the lease status, from the Tasks menu select Manage Leases, Change Lease, General tab, Dates/Status tab. Verify the status in the Lease status box.

  1. Use File Tools (Tools, File Tools) to make a backup of your Property Management files. See How do I use File Tools to back up data files?
  2. Move the terminated lease to historical status.
    1. From the Tasks menu, select Manage Leases, Terminate Lease.
    2. In the Terminate Lease window, click Move to History.
    3. In the Terminate Lease - Move Lease to History Status window, verify the Net due tenant and Net due company boxes are both at a 0.00 balance and then click OK. If they are not zero, refer to How do I reconcile a terminated lease in Property Management?
    4. If this is the last lease that the tenant is associated with, you receive the following message: "Last lease for tenant [Tenant name]. Move tenant to a Closed status?" If this tenant will no longer be associated with any lease again, click Yes. If you need to use this tenant on any future leases, click No, and then click Close.
  3. Review the Detailed Aged Receivable report (Reports, Collections, Detailed Aged Receivable) to verify that the lease balance is zero and that no open items exist.
  4. Run Clear Paid Items for the leases you want to delete. See How do I run Clear Paid Items in Property Management? for more information.
  5. Delete the terminated lease.
    1. From the Tasks menu, select Manage Leases, Change Lease.
    2. Select the lease you just terminated and moved to historical status. Click the General tab, Dates/Status tab and verify that the status of the lease in the Lease status box is Historical.
    3. If you are sure you do not want this lease in your database any longer, click the X button to delete the lease.
    4. The following message appears: "Open items may exist for this lease. Review the Detailed Aged Receivable Report (Reports, Collections, Detailed Aged Receivable) before deleting a lease to verify no open items exist for the lease." If you reconciled the lease to a 0.00 balance, click OK.
    5. When the message "Delete this lease?" appears, click Yes.
