PARTNER: How do I recover General Ledger entries moved to history in error?

Cause

General Ledger entries were moved to history in error.

Resolution

These instructions may be used by a Sage 300 CRE Certified Consultant or a member of Sage Professional Services Group.

  1. Have all operators exit the software
  2. Use File Tools to back up all General Ledger transaction files. For instructions on how to backup your data using File Tools, see article ID 17256 DocLink: How do I use File Tools to back up data files?.
  3. If you are using named General Ledger files, you will need to use File Tools to rename the General Ledger transaction files to the standard names (current.glt for example). Refer to article ID 17891 DocLink: How do I rename a file using File Tools? for instructions on renaming files, then turn off named files:
    1. From the File menu, select Company Settings, File Locations.
    2. Scroll down to GL Transaction, clear the box under Ask Name.
    3. Click OK.
  4. Move the entries that should be in the current file out of the history file into a temporary data folder:
    1. In General Ledger, from the Tools menu, select Move Transactions, History to History.
    2. In the Destination File Selection window, select a destination folder. Note: This cannot be the same folder as the source file data folder.
    3. In the Destination File field, type History.
    4. Click Open.
    5. Click Yes to create the file.
    6. In the Print Selection window, click Conditions.
    7. Under the Field list, select Source.
    8. Under Operator, select Not equal to.
    9. Under Value, select Close fiscal year. (Closing entries need to remain in the history file.)
    10. Click OK.
    11. If additional conditions are needed to limit which entries move back, proceed to add them.
    12. Click OK.
    13. Enter the appropriate Cutoff Date for the transactions to move back.
    14. Click Start.
    15. Review the printout to verify the entries moved successfully.
  5. Open the destination folder:
    1. From the File menu, select Open Company.
    2. Click Specify Folders.
    3. Click Browse.
    4. Select the folder you selected in step 4.2, then click OK.
    5. Click Yes to create the company folder and in the Company name field enter Temp Moved GL Entries
    6. Click OK.
    7. Click OK in the Specify Data Folder Paths window.
    8. Select the Temp Moved GL Entries company folder, then click OK.
  6. From the File menu, select Company Settings, File Locations.
  7. Scroll down to GL Master and enter the location of the source data folder (live data), then click OK.
  8. Use File Tools to rename the History file to Current. Refer to article ID 17891 DocLink: How do I rename a file using File Tools?
  9. Move entries from current to current:
    1. From the Tools menu, select Move Transactions, Current to Current.
    2. In the Destination File Selection window, browse to the original data folder (live data) and select the current.glt file. Note: If all entries were moved to history initially, the transaction file may need to be created by typing current in the Destination File field.
    3. Click Open. If you are prompted to create a file, click Yes.
    4. Enter a Cutoff date that will include all the transactions to be move back to the live current file.
    5. Click Start.
    6. Review the printout to verify the entries moved successfully.
  10. Remove the temporary data folder from the folder list.
    1. From the File menu, select Open Company.
    2. Select temporary folder Temp Moved GL Files.
    3. Click Remove From List.
    4. Select the original folder (live data) then click OK.
  11. If you renamed files in step 2, use File Tools to rename the current and history file back to the original file names and turn named files back on.
    1. From the File menu, select Company Settings, File Locations.
    2. Scroll down to GL Transaction, check the box under Ask Name.
    3. Click OK.
