How do I upgrade my data files in Sage 300 CRE?

Before you begin:

  • If you own both Estimating and Accounting and Management Products, upgrade your Accounting and Management data files first.
  • Upgrade files from the server that hosts your data.
  • If you have just migrated from a different server, check File Locations for all companies listed in the Select Company list to ensure that all data file locations point to a location on the new server. From any module or TS Main, go to File, Company Settings, File Locations.

Prepare to upgrade your files:

  1. Instruct all operators to exit all Sage 300 CRE applications.
  2. Back up the data files. Refer to How do I use File Tools to back up data files? If you have just migrated from a different server, obtain a current backup on the original server.
  3. At the server, verify the amount of available disk space on the drive where the data will be upgraded. You will need to have at least as much free disk space as the size of the folder you are going to upgrade. As an example, Construction Sample Data is 50 MB. You will require at least this amount of free space to upgrade the files. If you are doing multiple data folders at the same time, then it would be the sum of those folders' current folder size.

Upgrade your files:

Notes:

  1. From the Tools menu, select Upgrade Files.
    • For versions 16.1 and newer, from Sage Desktop, select Applications, Common Tasks, Tools, Upgrade Files.
    • For versions 15.1 and older, from Sage Desktop, select Tasks, Sage 300 Construction and Real Estate, Common Tasks, Tools, Upgrade Files.
    • From TSMain, Tools menu, Upgrade files.
  2. Select to upgrade either the Current data folder or All data folders. An explanation of these options follows:
    Note: If you are upgrading data files in a test server environment, disconnect any drives that are mapped to your live data to ensure you do not upgrade your live data by mistake.
    • If you select Current data folder, it upgrades the files you select only in the data folder from which you are currently working.
    • If you select All data folders, it upgrades the files you select in all data folders that display in the Open Company Folder window. This may include data folders on other drives. WARNING: If you select All data folders, the upgrade process can take a substantial amount of time depending on how many data folders you have.
  3. Do not select the Force file upgrades check box. Refer to When should I use Force File Upgrades?
  4. Click Start.
  5. You will be prompted to select a Save in location and File name for the Upgrade files journal. Make note where you save this printout and the name as you will need to access it in the next steps. Click Save.
  6. You can view the Background Tasks to watch the progress.
  7. When it is complete, from the File menu, select Printouts. Browse to the location where you saved the journal, select it, and click Open.
  8. Review the journal for any errors. Contact Sage 300 CRE Customer Support if you would like assistance reviewing the journal or need help with the errors.

If you selected to upgrade Current data folder and have other company folders to upgrade, repeat these steps for each company folder you need to upgrade.
