How to archive the Log Viewer
Description

The Log Viewer is a log of activity in the software. This includes items like user logins/logouts, the start and end of tasks, error messages, and other information. We store the log information in the QL Master file (master.qlm).

Prevention

To slow the growth of the file, it’s recommended to turn off (unmark) logging for the Security log type in the Log Settings. This will stop the recording of the log-in/out entries. You can access Log Settings one of two ways:

  • Sage Desktop, Common Tasks, Log Viewer, then click Settings from the toolbar
  • Sage Desktop, Options, Security Administration, Log Settings

Choose an option below to make your Sage 300 CRE log smaller.

We recommend using the Archive function when possible. If the log is too large to use the Archive, then you can move the files using File Tools or Windows Explorer.

Information

You can only archive 10,000 records at a time. Archiving saves all details of your log data in an XML file, which can contain a maximum of 10,000 records. Sage generates multiple log archive files if you archive more than 10,000 records. It appends a number (starting with "1") to the file name of each additional log file.

You select where to save the archive file and what to name it. You can access the XML file at any time for reference.

The Log Viewer includes up-to-date logs and Sage defaults to archiving all data in the current view. Ensure that the Log Viewer filter and search parameters you’ve selected contain the data you want to archive.

To archive specific dates, click Display at the top of the Log Viewer and choose Custom to set the date range. You can use Filters to limit the log entries by type. 

Steps to archive the log
  1. Have all users exit all Sage 300 CRE applications.
  2. Make a backup of the Global folder located under C:\ProgramData\Sage\Timberline Office\9.5\Accounting\Global on the server or \\[servername]\Timberline Office\9.5\Accounting\Global.
  3. Launch the Sage Desktop on the server.
  4. Go to Common Tasks, Tools, Log Viewer.
  5. If you don’t need to archive all log entries, change the Display date and Filter. The Log Viewer will archive currently displayed entries.
  6. Click Archive.
    • If you want to archive and delete the log entries from the Log Viewer, choose Archive and Delete
    • If you want to archive the log but keep the entries in the Log Viewer, choose Archive
  7. Save the archive file to your chosen destination.
  8. If you chose Archive and Delete, use File Doctor to compact the QL Master file.

Information

If your Log Viewer is too large to archive, you can move the entire Log Viewer file (QLM files) to another folder.

If the size of the Global\PVData\master_qlm folder is more than 2GB, or you receive a CP5 error, use the Windows Explorer option below. The file is too large for File Tools.

CAUTION:

Don’t leave renamed QLM files in the Global folder. Move the files to an archive folder. Leaving renamed files behind in the Global folder can cause issues with ODBC, SQL Replicator, and third-party software.

Steps to move with File Tools
  1. Have all users exit all Sage 300 CRE applications.
  2. Close any interfacing third-party software and/or stop those services. It can retain a lock on the QLM file.
  3. Launch the Sage Desktop on the server.
  4. Go to Common Tasks, Tools, File Tools.
  5. Click Move and Next.
  6. Click Add Files.
  7. Click Browse.
  8. Locate the \\[servername]\Timberline Office\9.5\Accounting\Global folder.
  9. Select the master.qlm file and click Open.
  10. In the Destination field, click the Browse button. Select or create a folder to store your archived log viewer (QLM) files. For example, \\[servername]\Timberline Office\9.5\Accounting\Archived Log Viewer files.
  11. Click Next.
  12. Verify that the Validation shows all green lights, then click Next.
  13. At Verify Files, click Next.
  14. At Execution Summary, click Next.
  15. Once the operation shows completed, click Finish.
  16. Sage will create a new QLM file when first opened by any user.

If the File Tools option doesn't work or the file is too large, manually move the files with Windows Explorer.

Information

For large QLM files, look for files with a number appended to the name (for example, QLM^1, QLM^2) inside the master_qlm. Move these extended files with the files in the master_qlm into the Archive Log Viewer\PVData folder.

Steps to move files with Windows Explorer
  1. Browse to the Accounting folder on the server (the default location is C:\ProgramData\Sage\Timberline Office\9.5\Accounting\).
  2. Create an Archive Log Viewer folder. Inside the Archive Log Viewer folder, create a PVData folder.
  3. Open the Global folder (the default location is C:\ProgramData\Sage\Timberline Office\9.5\Accounting\Global).
  4. Move the master.qlm file from the root of the Global folder into the Archive Log Viewer folder.
  5. Move the master_qlm folder from Global\PVData into the Archive Log Viewer\PVData folder.
  6. Sage will create a new QLM file when re-opened by any user.
