| How do I void and reissue a Payroll check for the prior year? (For error correction) |
Description | If you need to replace a lost check from a prior year, see How do I void and reprint a Payroll check for the current period, prior year or prior period without using Payroll? Caution: Before you proceed: Can you make the corrections in Job Cost using Enter Direct Costs? If so you would not void the check, or use Payroll. You would use the Enter Direct Costs in Job cost to make these adjustments/corrections. If you correct this in payroll, consider the following: - If you have already updated taxes for the current year, then taxes on the new check will calculate using the current year’s rates and limits.
- When you process a check, the system uses the year-to-date (YTD) totals on the master file. These totals are for the current year and help determine when an employee meets the limit for a tax. If the employee met the limit for a tax in the prior year, the original check may not include this tax. When you process the reissued check the tax, taxable, and subject-to amounts may calculate if the employee has not met the limit in the current year.
- You can manually zero out the tax amount in Enter Checks, but this does not clear the taxable and subject-to amounts. The taxable and subject-to amounts accumulate to the prior year taxable and subject-to master file totals when you post the check to the prior year. This will affect W-2s and state quarterly reports. You cannot change the taxable or subject-to amounts in Enter Checks.
- Sage support does not recommend the use of Audit Setup Activity to correct the taxable and subject-to totals on the master file, tax reports use both master file totals and transaction file totals.
- If the tax amounts withheld on the check change, you may need to print your quarterly and year-end tax reports again and file amended reports to the local, state, and federal governments. Consult your tax accountant or tax attorney for information on the tax laws and regulations that apply to your situation.
- The check stub for the reissued check displays the current year's YTD totals, not the prior year totals. If you need to void a check for the prior year and reissue it with corrections, the corrections may have an effect on the W-2 and quarterly reports totals.
Note: If the check has already been reconciled you will need to change the status to open during this process. See How do I change the reconciliation status of a transaction in Cash Management? for details on how to change the status to open. If the check was correctly part of a previous statement you will need to change the status back to Reconciled with a clear date on the original statement date after the check has been reissued. - Create a backup of your data folder. See Can I still use File Tools to make a backup in 17.1 and later?
- For each check that needs to be corrected, print the Check Activity with Detail report (Reports, Pay Period Processing, Check Activity with Detail).
- If the SOC, SOC_E, FUTA_E, SUI_E, or local taxes did not calculate on the original check, the employee may have met or exceeded the limit for that tax.
- Void the check. For more information on voiding checks in Payroll, see the link below.
- From the Tasks menu, select Enter Checks. Make any applicable corrections to the check and click Process.
- Verify that the correct amounts for employee and employer taxes, deductions, and fringes are correct.
- If you do not need to print a new check, click Manual and enter the applicable check number and check date. If you need to print a new check, click Accept Check and Finish.
- From the Tasks menu, select Print Checks and/or Generate Direct Deposits and enter the Check date or Effective date for the prior year.
- From the Tasks menu, select Post Checks and post the check.
