Before moving checks current to current, consider the following: - Do you use named payroll transaction files?
- If you do not use named Payroll transaction files, are you going to move these checks to another data folder?
- If you do not do either, consider moving checks Current to History.
To move checks from current to current: - Use File Tools to back up your Payroll files. Select the link below for details on how to use File Tools to create a backup.
- If you have not already done so, create the data folder for the destination of the checks, the archive data folder. Refer to the attachment below for steps and considerations to create a new payroll data folder. If you already have a archive data folder created for this purpose, proceed to the next step.
- From the Tools menu, select Move, Checks, Current to Current.
- Select the appropriate file or files.
- If you use named files, select the current file from which you are moving checks, and then select the current file that you want to move the checks to.
- If you do not use named files, select the destination folder of the current file you want to move checks to. This must be a different folder from your current data folder. If no current file exists in this data folder, click Yes to create the file.
- In the Move Checks - Print Selection window, click [Conditions] to indicate which checks to move (this is optional, but recommended). Otherwise, all checks are moved and the file is deleted. For example, to move the checks for two employees add the conditions below:
- Click Conditions.
- In the Field area, select Employee.
- In the Operator area, select Equal to.
- In the Value area, type the employee ID.
- Click OK and then click Add.
- Verify that the connector is OR.
- In the Field area, select Employee.
- In the Operator area, select Equal to.
- In the Value area, type the employee ID for the second employee.
- Click OK twice.
- Click Start to move checks.
- Review the journal to verify the correct checks moved successfully. If the journal contains errors, use File Tools to restore your files from the back up created in step 1. Select the link below for details on how to use File Tools to restore from a backup.
Notes: - After you move information from a file, we recommend that you use File Doctor to compact the file from which the information was moved. Select the link below for details.
- When archiving, it is recommended to move checks for one year at a time. The conditions to move checks for one year are as follows:
- Click Conditions.
- In the Field area, select Accounting Date.
- In the Operator area, select Greater than or equal to.
- In the Value area, type the begin date (1/1/20YY).
- Click OK and then click Add.
- Verify that the connector is AND.
- In the Field area, select select Accounting Date.
- In the Operator area, select Less than or equal to.
- In the Value area, type the end date (12/31/20YY).
- Click OK twice.
