Create a clean data folder and expendable file cleanup
Description

Resolution

Always create a backup of your data before following this process. If necessary, seek the assistance of a qualified Sage business partner, network administrator, or Sage customer support analyst.

Completion of this process can result in loss of non-critical data in the program, including Track-It statuses, existing linked attachments, and alerts. To determine the function of files being excluded/removed, refer to How can I determine what files are used for what purpose in the program files and data path directory?

If using Microsoft 365 you must rename the original folder and create a new folder with the original name. Microsoft 365 data is tied to the folder name and the computer that uploaded it.

Section 1: Create a new folder and copy and paste only the essential files

  1. Set the computer to show file extensions and hidden files.Follow How to show file extensions and hidden files, folders, and drives.
  2. Identify the name and location of your data directory. Follow How to locate company directories.
  3. Locate the program path and data path. Follow How to find data path and program path.
  4. Browse to the data path.
  5. Inside the data path, create a New Folder by right-clicking on a blank area. Select New and then Folder.
  6. Rename the new folder by right-clicking on it and selecting Rename. Type the new name. This can be any name unique to any existing folders in that location.
  7. Open the original company data folder and copy the following files and folders and Paste into your new folder:
  • .DAT files
  • Version.txt
  • KMSKeys.xml
  • KeysBackup folder
  • ATTACHMENTS folder
  1. Open your company with the new folder (go to File, Open Company or select Browse on the Open an Existing Company screen).
  2. Verify that you can open with no error.
  3. If you still are receiving the error, proceed to the next section.

Section 2: Delete expendable DAT files from the clean data folder

  1. Browse to the clean data folder you created in Section 1.
  2. Delete the following files:

ADVDATA.DAT

ADVHIST.DAT

ALARM.DAT

ALERT.DAT

ATMNTBDL.DAT (attachments will be lost)

ATTCHMNT.DAT (attachments will be lost)
