Note: For accrual accounting, the software credits the AR account from the invoice distribution when entering an invoice cash receipt. For cash accounting, it credits the revenue account from the invoice distribution. Note: You can't enter negative deposit and deposit item amounts. To enter a cash receipt and apply it to a specific customer invoices, follow these steps in Accounts Receivable. - Select Tasks, Enter Cash Receipts.
- Select the entry view you want to use.
- In the Deposit Information window, enter the deposit information and click OK.
- In the Deposit Items window, select the deposit item type and enter the customer, amount, and other information.
- In the Cash Receipts Selection window, highlight the open invoices where you want to apply the cash receipt.
Note: You may need to deselect any invoices automatically highlighted. - If you’re applying the cash receipt to the entire invoice, click OK. This will exit the Cash Receipts Selection window and return to the Deposit Items window. Skip to step 11.
- To apply the deposit to individual invoice distributions, highlight the invoice and click Cash Receipts. Example: You need to pay the tax items first, before the remaining balance.
- In the Cash Receipts window, click Distributions.
- In the Distributions window, enter the amounts to apply to each invoice distribution listed.
- When you're done, click Finish to return to the Cash Receipts window.
- Click Save Line, Finish Cash Receipts to return to the Deposit Items window.
- In the Deposit Items window, enter any remaining deposit items for this session. You can view the remaining number of items or amount at the bottom of the window. You entered this information in the Deposit Information window in step 3.
- If you’re finished entering deposit items, click Finish to exit Enter Cash Receipts.
