Can journals be saved to a file automatically?

Use this option to automatically print your journals to a file, rather than selecting the Print to file check box and manually naming the file each time you finish and print.

Tips:

  • Add the date and time to the Journal File Name to avoid overwriting previously saved journal files.
  • Having the year selected as the first Journal Folder aids in archiving printouts in the future and makes finding printouts easier. For example, having the Journal Folders be set to "Year, Application, Task" means that each yea the system will automatically create a new folder which makes archiving the prior year printouts easy. For example, on 1/1/2024 a new 2024 folder will be created and then as each application creates a journal, that application and task will have folders created inside the 2024 folder.

  1. Within any open Sage 300 CRE application, from the Tools menu, select Options, and click on the Journals tab.
  2. Select the Automatically print journal to file check box.
  3. In the Journal Folder field, click the drop-down list and select the first attribute of the naming convention for the journal folder. You can select from the following attributes:
    • Application
    • Task Name
    • User Name
    • Year
    • Month
    • Day
  4. Click Add to include the selected attribute. Add the attributes in the order that makes sense for your business processes; for example, add Year, Application, Task Name. Repeat this step as needed to complete the naming convention for journal folders.
  5. In the Journal File field, click the drop-down list and select the first attribute of the naming convention for the journal file. You can select from the following attributes:
    • Application
    • Task Name
    • User Name
    • Year
    • Month
    • Day
    • Time
  6. Click Add to include the selected attribute. Add the attributes in the order that makes sense for your business processes; for example, add Month, Day, Year, Time, User Name. Repeat this step as needed to complete the naming convention for journal files.


Notes:

  • Best practice is to review all posting journals for any errors. Go to File, Printouts to find and review the report. In the event you receive a "Invalid directory, using current working directory instead" message, see Error: "Invalid directory, using current working directory instead" for more detail.
  • This setting is per data folder, if you have multiple data folders you will need to set it in each company data folder you want to print journals to file.
  • You can set the location that the folders and files will be created in by following How do I set up the printout file location?. Most customers create a folder called Printouts and point to that then allow the automatic journal process to create the year folder under that location. With file locations set to the Prinout folder, when going to File, Prinouts to view the printouts, the system will then open to the printout folder location and the user can select the proper year, application and task folders and find the specific journal needed (or whatever other naming convention used).
  • If you need to print to hard copy, click on printer setup and uncheck the print to file check box.
