Where to enter SMTP E-mail Server address, encryption, and login settings for Paperless Office Electronic Delivery

Note: There are numerous different server programs and providers that provide the services of an SMTP e-mail server. Sage does not test Sage 100 with all e-mail services/programs/providers. Sage 100 Customer Support is not responsible for knowing the exact combination of program or provider, security or permission settings, inbound or outbound rules, account logins, passwords, bandwidth restrictions, etc. to enable successful e-mail delivery. The specifics of services, programs, and providers are subject to change. If an error is encountered, troubleshoot based on the Chilkat error log information. You may need to try various settings, or test an alternate service, program, or provider.

Enter SMTP (Mail) Server settings:

  1. Open Library Master, Main menu, Company Maintenance
  2. For Company Code, enter or select the company code from lookup
  3. Access the E-mail tab
  4. For Address, enter the DNS address or IP address of the SMTP e-mail server
  5. For Port, type the port ID that SMTP e-mail server is using if it is not using the default port ID
    1. Note: The default port ID is 25. However, your SMTP e-mail server or provider may designate a different port number.
  6. For SMTP Encryption, select the type of encryption to use between the SMTP client and SMTP server when sending e-mail.
    • None - Select this for no encryption. This is traditionally offered on port ID 25
    • SSL - Also known as Implicit SSL, select this to encrypt the communication for the entire session. This is normally offered on port ID 465
      • Note: SSL is a deprecated standard. It has been replaced by TLS.
    • TSL/Start TSL - Also known as Explicit SSL, select this to begin the communication unencrypted, then later when the client issues a STARTTLS command, communication will be encrypted for authenticating and sending the e-mail. This can be offered on a variety of ports including port ID 25, 443, or 587
      • Note: The e-mail engine used in Sage 100 2018 and Sage 100 2017 and lower use TLS 1.0. TLS (Transport Layer Security) is a cryptographic security protocol designed to provide communications security over a computer network and over the Internet. TLS 1.0 and 1.1 standards is deprecated due to known security issues. Major providers such as Apple, Google, Microsoft, Cisco, etc. have either already discontinued use in favor of current TLS 1.2 standards, or have plans to do so in the immediate future.
  7. For User ID, type in the login account or ID used to log onto the SMTP e-mail server
    • Note: If using an e-mail address, this must be the full e-mail address. On lower versions, there is a relatively low limit to the number of characters allowed, so it is best to keep the address short.
  8. For Domain, enter the domain name if a domain is required by the SMTP server
  9. For Password, type in the password for the login account or ID, if required
  10. For the Use 128-Bit Encryption for Password Protected Documents check box:
    1. Select (check) this check box to use 128-bit encryption when password-protected documents are e-mailed
    2. Clear (uncheck) this check box if you do not want to use encryption for e-mails
  11. Click Accept to save changes.

Test E-mail Delivery:

  1. Open Library Master, Main menu, Company Maintenance
  2. For Company Code, enter or select the company code from lookup
  3. Access the E-mail tab
  4. Click the Test E-mail... button to generate a test e-mail and send using the SMTP e-mail server.
    • Note: This launches a separate Test E-mail task window.
  5. Enter a From E-mail Address
  6. Enter a Subject Line for Test
  7. Enter a To E-mail Address
    • Note: This should be an e-mail address to which you have access, so you can confirm delivery.
  8. Click the Send button to send the e-mail.
  9. Confirm delivery of the e-mail. Or, troubleshoot the Chilkat error log information by searching for the error information:

Note: The following list is not exhaustive. Not all e-mail server software follow all SMTP standards. Sage does not test Sage 100 with all e-mail services/programs/providers.
