How to rebuild a Sage 50 Accounting company without journal information.
Resolution
1. Set Up a New Company
- Select File, then New Company.
- Enter the company information (name, address, etc.).
TIP: Change the company name slightly to distinguish it from the original company: you can always rename it later. - Select Next.
- Select Copy settings from an existing Sage 50 company.
- Select Next.
- Select the original company from the Available Sage 50 Companies list.
NOTE: If the original company doesn't appear, follow these steps to fix that issue. - Select Next.
- Select which settings to copy:
- If you plan to import employee records, make sure to select Employee Defaults
- If rebuilding to change the fiscal year structure, uncheck Accounting Periods
- Select Next.
- Select the desired accounting method.
- Usually, you'll use the same accounting method as the original company
- To check the accounting method in the original company, click Maintain, then Company Information
- If you want to change the accounting method, you can do so here
- Select Next.
- Select a posting method:
- Batch: you'll need to post transactions manually
- Real Time: transactions post automatically when saved
- SmartPosting: Quantum Accounting only; transactions post automatically after a delay (recommended for companies with 10 or more users)
- Select Next.
- Skip to step 18, unless you're changing the fiscal year structure
- Select an accounting period setup method.
- 12 monthly accounting periods per year: the fiscal year will follow the calendar year (January is period 1, December is period 12)
- Accounting periods that do not match the calendar months: the fiscal year doesn't begin in January, or the periods don't correspond to a calendar month
EXAMPLE: The fiscal year has 13 periods
- Select Next.
- Set the fiscal year:
- If the fiscal year follows the calendar year, select the date for the first period of the current fiscal year
- If the fiscal year doesn't follow the calendar year:
- Select the number of accounting periods per fiscal year
- Set the starting date of the fiscal year
- Set the From and To dates of each period
- Select Next.
- Select Finish.
- After the company creation completes, register add-on services:
- If processing credit cards through Sage 50, select Services, then Credit Card Processing
- If using direct deposit, select Maintain, Company Information, then select the Direct Deposit button
NOTE: You'll also need to update the Routing and Checking numbers for each employee, and perform a new pre-note sync for the new company
- Back up the new company.
- Click Maintain, Company Information.
- Note the new company's Directory.
- Close Maintain Company Information.
- Open the original company and click Maintain, Company Information.
- Note the original company's Directory.
- Close Maintain Company Information.
- Close Sage 50.
2. Copy Needed Files
- Open Computer or This PC.
- Browse to the original company's directory.
- Copy the following files:
- Qtydisc.dat
- Recurex.dat
- Report.dat
- Rptdata.dat
- Taxauth.dat
- Taxcode.dat
- Taxtable.dat
- Template.dat
- Browse to the new company's directory.
- Press CTRL + V to paste the files.
- Select Yes when prompted to replace the existing files.
- Close Computer.
3. Export/Import Maintenance Records
- Open Sage 50 and the original company.
- Select File, then Select Import/Export.
- Export the following items.
- From the General Ledger section: Budget List
- From the Payroll section: Employee List
- From the Accounts Payable section: Vendor List
- From the Accounts Receivable section: Customer List and Contact List
- From the Inventory section: U/M List, Inventory Item List, and Bill of Materials Listing
- From the Jobs section: Phase List
- Cost Code List
- Job List
- Close the original company and open the new company.
- Select File, then Select Import/Export.
- Import the following items in the exact order listed.
- Budget List
- Employee List
- Vendor List
- Customer List
- Contact List
- U/M List
- Inventory Item List
- Bill of Materials Listing
- Phase List
- Cost Code List
- Job List
4. Enter Beginning Balances
- Open the original company.
- Select the Reports & Forms menu, then General Ledger.
- Run the General Ledger Trial Balance report.
- Click the Options button and select the last period where you have transactions.
- Click Ok and Print the report. Then Close the report.
- In the Select a Report or Form window, select the Accounts Receivable tab.
- Run the Aged Receivables report. Repeat steps 4 and 5 to print the report with the latest transaction data.
- Verify that the Aged Receivables report balances match the balance of Accounts Receivable in the General Ledger.
- If the balances don't match, fix that issue before proceeding
- Select the Accounts Payable tab and run the Aged Payables report. Repeat steps 4 and 5 with this report as well.
- Verify that the Aged Payables balances match the balance of Accounts Payable in the General Ledger.
- If the balances don't match, fix that issue before proceeding
- Select the Inventory tab and run the Inventory Valuation report. Repeat steps 4 and 5 to print this report with the latest data.
- Verify that the Inventory Valuation report balance matches the Inventory account balance in the General Ledger.
- If the balances don't match, fix this issue before proceeding
- Select the Payroll tab and run the Payroll Register report. Repeat steps 4 and 5 to print this report with the latest data.
NOTE: Skip this step if the new company's first fiscal year doesn't include any part of the current payroll year. - Close the original company and open the new company.
- Using the General Ledger Trial Balance report from the original company, enter the general ledger beginning balances.
- Using the Aged Receivables report, enter the beginning balances for each customer.
- Using the Aged Payables report, enter the beginning balances for each vendor.
- Using the Inventory Valuation report, enter inventory beginning balances.
- Using the Payroll Register, enter beginning balances for each employee if needed.
- Make a final pre-use backup of the new company.
