How do I unterminate a lease in Property Management?

Option I: You can use the Amend Lease task for leases that were incorrectly terminated

  1. Before you begin your lease amendment, enter and post any transactions for the terminated lease.
  2. Follow these steps to start the new lease amendment:
    1. From the Tasks menu, select Manage Leases, Amend Lease.
    2. Click New Amendment.
    3. In the Amend Lease-New Amendment window, select Terminated Leases from the Show: list.
    4. Select the lease you want to amend and click OK.
    5. If any windows appear notifying you about duplicating attachments or records that were not set up on the original lease, click OK.
  3. Follow these steps to finish the lease amendment:
    1. A message appears reminding you of tasks to complete prior to clicking Effective Now. Read or print this information and click OK.
    2. Update other lease information as usual on the tabs in the Amend Lease Edit Amended Lease window.
    3. Click Effective Now. Accept the dates that appear in the Amend Lease - Effective Now: Dates and Occupancy window. The Effective Date in this window is from the Actual Lease End date on the original lease. Click OK.
    4. The Property Management window appears and shows the dates selected for this amendment. Click Yes to accept these dates or No to return to the Effective Now: Dates and Occupancy window and modify the dates. For more information about how these dates are used in the amend process, click Help.
    5. Additional windows may appear advising you of missing information. Click Yes to continue or No to cancel the process and make changes.
    6. In the Amend Lease - Effective Now: Charge Start Dates window, verify the Prorate From and First Full Charge dates. Click OK to continue or click Cancel to modify the lease and correct the dates. For more information on the dates that affect this window, click Help.
    7. Click Preview Charges to verify charges that will be created. Clear the Create charges now box if you do not want to create these charges. Click OK.
    8. If you want to reconcile the terminated lease now, click Yes when a message appears telling you that the effective now process is complete and the terminated lease may need to be reconciled. Option II: Delete the lease and set it up again

You can use this option if the lease has not been amended. WARNING: If you delete a lease that has been amended, you may need a file fix to correct it (performed by Sage Professional Services Group, additional fees for services). Follow the steps below to determine whether a lease has been amended:

  1. In Property Management, from the Tasks menu, select Manage Leases, Change Lease.
  2. In the Lease list, select the appropriate lease ID with the number 0 in parentheses after the lease ID.
  3. Click the Lease History button to view if there have been any lease amendments.

If the lease has never been amended, you can reconcile the terminated lease then delete it and set it up again. Refer to How do I reconcile a terminated lease in Property Management? and How do I delete a terminated lease in Property Management?


Option III: Change the terminate dates

If the lease was terminated earlier than intended but will soon be officially terminated, you can leave the lease in a Terminated status and correct the dates.

WARNING: Any reports you use that is based on a lease status of Current, will not include this lease. If you need the lease back to a Current status, use one of the other options above as appropriate. Some alternative reports exist or can be created to display the lease status based off move in and move out dates such as the Rent Roll Rollback report in How do I run a Rent Roll report for past years or months in Property Management?

  1. PM Tasks, Manage Leases, Change Lease.
  2. Select the lease.
  3. Select the Recur Chgs tab.
  4. Clear or change the Terminate Date on the recurring charges.
    • If you clear the date, recurring charges will continue to generate in the Generate Rent Roll task until you enter a new Terminate Date.
    • If you change the date, change it to one day after you want to bill through. This date is a "bill up to" date, not a "bill through" date. For example, if you want to bill through 6/30/2019, enter 7/1/2019 as the Terminate Date.
  5. Correct the Actual Lease End, Actual Move Out, Occupancy, and Vacancy loss dates as instructed in How do I correct Actual Lease start, Actual Lease end, Actual Move-in, and Actual Move-out dates for a lease in Property Management?
  6. When you are ready for the lease to be officially terminated, make sure a Terminate Date is entered on the recurring charges. Then proceed with reconciling the terminated lease and move it to historical status when ready:
