Error: "Cannot find SpState.xml"

Summary

How to resolve the error "Cannot find SpState.xml" in Sage 50 Accounting.

Cause

  • SmartPosting isn't running on the server
  • Data path permissions give limited access on the server
  • The company data folders aren't in the data path on the server

Resolution

General solutions for all setups

1. Start SmartPosting on the host machine

On the computer that stores the data start SmartPosting.

2. Make sure the companies are in the data path
  1. Find the data path on the computer that stores the data.
  2. Browse to the data path and make sure the company data files are inside.
    • If the company data files are in the data path, skip to the next section
    • Otherwise, note where the company data files are, and continue with step 3
  3. Uninstall Sage 50 on the server/host computer.
  4. Install Sage 50 again.
  5. During the Installation Wizard, use the data path location where you found your company files in step 2.
  6. If you're using Sage 50 on a network, reinstall it on the workstation computers as well.

 NOTE: If you have several different versions of Sage 50 installed, they can't use the same data path.  Separate their data into different locations and reinstall each version to change its data path. 

3. Rename VerInfo.ini
  1. Browse to your data path.
  2. Find the file VerInfo.ini.
  3. Rename the file to VerInfo.old.
  4. Run Repair.

Error occurs during an update

1. Change to Batch Posting
  1. Exit the update and reopen Sage 50.
  2. Open a company that uses SmartPosting.
  3. Change the posting method to Batch Posting.
  4. Start the update as normal.
  5. If you still get the error during the update, continue with the next section.
2. Create a new Local Data Path
  1. Use Database Repair Utility to create a new Local Data Path and copy over the companies.
  2. Re-install the update.

Error occurs after an update

1. If the error happens at the server and workstations, after a failed attempt to install the latest Service Release
  1. Run Repair.
  2. When Repair is complete, reinstall the Service Release.
  3. Verify the SpState.xml error no longer appears when attempting to open companies.
2. Error occurs after conversion

Rename the Reports folder and run Repair.

3. Make sure server and workstations have the same version
  1. Check which version is on the server and workstations.
  2. If the versions don't match, install upgrade the computers using older versions.

Error occurs when opening a company on a networked workstation

Check the sharing and security permissions of the data path on the server.
